The Opportunity

This is an exciting opportunity to join Family Life as our Volunteer Engagement Coordinator for the City of Kingston and Mornington Peninsula regions. This is a permanent part-time role, working 30.4 hours per week (Monday to Thursday) based predominantly at our Frankston and Rosebud sites, with regular travel to other Family Life City of Kingston and Mornington Peninsula sites.

Our Family Life Op Shop network is growing, and we need help recruiting and engaging volunteers to support our work and provide social connection and cohesiveness in our community. This role is focused on recruiting, training, engaging and supporting volunteers to meet the needs of our Social Enterprise Op Shops across the City of Kingston and Mornington Peninsula regions and surrounds.

You’ll grow Family Life’s volunteer program through strong engagement with stakeholders and implementation of key activities and initiatives to recruit and retain quality volunteers, and work closely with local Social Enterprise staff to create a safe, dynamic and engaging volunteer experience. Focusing on the full volunteer life cycle, you’ll be responsible for effectively following our volunteer management processes, procedures, workflows and policies, using Salesforce as a key process management tool.

Working within the Volunteer Engagement Team, reporting to the Volunteer Engagement Lead, the position plays a key role in achieving local outcomes within the framework of the organisation’s volunteer strategy.

Key Responsibility Areas

The key responsibilities include but are not limited to:

  • Coordinating recruitment and onboarding (advertising, interviewing, screening, training) of volunteers.
  • Communicating regularly with volunteers and conducting check-ins.
  • Following procedures to support volunteer engagement, recognition, retention and evaluation processes.
  • Delivering individual, group and online volunteer inductions and training.
  • Supporting volunteer engagement, recognition, retention and evaluation processes.
  • Developing and maintaining the relationships with key stakeholders, strengthening engagement and communication with all volunteer programs stakeholders.
  • Event coordination of face to face or online volunteer engagement events, including maintaining the Family Life Volunteer Training Calendar and Community Engagement Calendar.
  • Maintaining collaborative and productive relationships with key internal stakeholders, particularly Social Enterprise staff, ensuring strong engagement and communication.
  • Supporting volunteer supervisors with local engagement of volunteers, but also policy and procedure advice when required in the case of incidents and issues.
  • Developing and maintaining productive relationships with local volunteer referral pathways (eg. local council, schools, employment agencies, retirement villages, local business), promoting volunteer recruitment and engagement.
  • Coordinating quality assurance of all volunteering activities, ensuring all the standards, forms, policies and procedures relating to the volunteer programs are clearly documented and updated as required.
  • Maintaining accurate and up to date volunteer files throughout the volunteer lifecycle, through the effective use of the Volunteer Management system (Salesforce).
  • Maintaining all administrative tasks within volunteer management effectively
  • and efficiently.
  • Regular weekly attendance to sites to engage with volunteers and staff.
  • Regular communication with the team to inform continuous improvement, and participation in broader team-based activities as required.
  • Other duties as reasonably required in order to meet the team and organisation’s objectives.

The Volunteer Engagement Team is looking for a personable, enthusiastic professional, who will thrive on developing and maintaining productive relationships with key stakeholders. The ideal candidate will be highly organised, skilled at recruitment and onboarding, focused on volunteer engagement and able to manage their workload, balancing varied demands with planned volunteer program activities. With strong admin, IT and reporting skills, this person will be focused on continuous improvement which will enhance our volunteer experience with Family Life. A reliable car, an energetic, enthusiastic and flexible approach, and a passion for people are key elements of success in the role.

A typical week might look like: a visit to each store to engage with volunteers and staff, collaboration with a Store Manager to troubleshoot a volunteer issue, spending an hour or two at a store promoting recruitment to the public, booking a venue and catering for a training session, interviewing a few prospective volunteers, supporting prospective volunteers with safety screening requirements, processing applications and safety screening on Salesforce, attending a team meeting online (or in person), popping into a community centre to collaborate with the manager on possible advertising, and a myriad of other tasks that create an interesting and varied role.
