The Australian Muslim Women’s Centre for Human Rights (AMWCHR) is an organisation of Muslim women working to advance the rights and status of Muslim women in Australia. We are a non-religious organisation reflecting the sectarian, cultural and linguistic diversity within the Muslim community.

POSITION SUMMARY

The Director of Business & Operations is responsible for the operational management, including financial management and organisational sustainability, of the Australian Muslim Women’s Centre for Human Rights (AMWCHR) to ensure the effective, efficient, and sustainable operations of the business.

The Director of Business & Operations is responsible for oversight and management of all operational support for AMWCHR services, systems, and functions to maximise the performance of the organisation and to promote innovation, openness, accountability, and professionalism. The role is responsible for continuously improving the capacity of the organisation to support the delivery of programs, services, and projects and will take leadership of exploring and implementing new business initiatives which enhance organisational sustainability and operational effectiveness in line with strategic priorities.

The Director of Business & Operations is an experienced leader, strategic thinker and keen problem solver who is adept at planning, monitoring, and reporting and works effectively and collaboratively across the organisation, providing strategic operational advice to the CEO and management team. The ability to successfully manage a range of stakeholders and prioritise complex and competing demands is essential to this role.

The Director of Business & Operations will work closely with the CEO as part of the Management Team and will be responsible for ensuring the effective management of operational support services including finance, compliance, IT, HR, systems, and facilities, in addition to oversight of media and marketing, and business initiatives to strengthen income streams and support organisational performance.

REPORTING

Reports to: CEO

Manages: Operations Coordinator, Digital Media & Marketing Coordinator, Training & Engagement Manager

Key liaison: CEO, Management Team, Operations team, Board, other staff, and volunteers

External Liaison: AMWCHR external service contracts such as accounting provider, funding bodies, donors, government agencies, service providers, other external and sector stakeholders

KEY RESPONSIBILITIES

Leadership and Management

  • Lead and manage the operations team, overseeing the management of the day-to-day support functions of AMWCHR, including finance, IT, HR, planning, administration, insurance, and risk management to ensure effective delivery of all required operational activities and functions.
  • Identify, lead, and oversee operational projects in line with strategic priorities including events, new initiatives, systems improvements and infrastructure upgrades.
  • Contribute to strategic planning, develop annual business plans for operations team, and manage periodic organisational reviews against set plans.
  • Provide support for new initiatives and business growth opportunities as required, including exploring potential new opportunities, developing required plans for scoping, planning, and budgeting as necessary.

Compliance and Governance

  • Ensure AMWCHR meets all accountability, legal, compliance and reporting requirements including to the Board, funding bodies and partner organisations, keeping abreast of legislative changes and operations best practice relevant to AMWCHR.
  • Maintain and monitor the register of reporting and compliance obligations to ensure the successful reporting of programs/services delivered by AMWCHR, including coordination of quarterly and annual reporting to funding bodies.
  • Liaise with all funding bodies relevant to AMWCHR projects as required and act as key contact point where necessary.
  • Manage, maintain, and implement the AMWCHR policies and procedures manual, ensuring regular review, staff training and compliance across the organisation.

Finance & IT Management

  • Manage the organisations finances including financial controls, outsourced accounting providers, financial systems, and processes, to ensure sound financial management, reporting and compliance obligations are met.
  • Monitor and approve service expenditure and payroll processing, ensuring that the organisation operates within budget.
  • Manage and develop AMWCHR’s budget in consultation with the CEO, including regular monitoring of budget performance, review and analysis of management and Board reports, development, and review of grant budgets, and reporting to funding bodies where necessary.
  • Manage the organisations IT infrastructure, data and software systems and system controls including engagement of external contractors, system enhancements and operation to ensure a strong and robust IT system to support organisational operations.
  • Oversee AMWCHR’s relationship with the external contractors acting as the key contact point, including accountancy services, auditors, bank, HR and IT service providers, including acting as key contact for annual organisational audit, advising the CEO of any issues of concern.

Human Resource Management

  • Oversee the development, implementation, and monitoring of all AMWCHR Human Resource functions, policies and procedures including induction and onboarding processes, workplace health and safety, and staff performance plans and processes in consultation with CEO.
  • Lead the development and implementation of the Staff Wellbeing Plan, in consultation with management and feedback from staff to support a positive and healthy workplace culture.
  • Approve staff training and development within the parameters of the budget and in line with staff and organisational training plans.
  • Maintain positive collegiate relationships with management and colleagues, reporting relevant issues and contributing to a professional and harmonious workplace.

Stakeholder Relationship Management

  • Oversee the development and implementation of the organisations Digital Media and Marketing strategy, in consultation with the CEO and management team.
  • Oversee the delivery of fee for service training, programs and consultation services, maintaining strong and collaborative relationships with trainers, and sector organisations.
  • Build and expand on AMWHCR membership and engagement, developing new initiatives and models to expand audience and engagement across diverse sectors.
  • Represent AMWCHR with key stakeholders including, government, sector, partners, donors and external services providers, modelling AMWCHR values and professionalism.

Facilities and Maintenance

  • Ensure organisational facilities are operational and maintained to support business operations within the scope of available budgets.
  • Explore initiatives, opportunities and projects which enhance the office operations and functionality, including managing safety infrastructure.
  • Oversee all maintenance and contractual arrangements supporting organisational operations, ensuring regular review to ensure value for money, and accurate record keeping.

Mandatory Key Selection Criteria

  • Qualifications and relevant experience in financial and operational management.
  • Between 3-5 years’ experience in a similar role, preferably with experience in not for profit (i.e., Operations, Project Management, Financial management).
  • Proven leadership ability, with experience in managing multifunctional teams and experts.
  • Experience in managing and developing operations functions including IT, HR and finance to deliver best practice in a not-for-profit environment.
  • Capacity to support the development, management and implementation of multiple projects.
  • Ability to communicate effectively with a diverse range of people, to develop and maintain professional relationships and share concepts, information, and ideas successfully.
  • Strong contract and project management experience and strong financial acumen.
  • Advanced analytical and conceptual skills.
  • Excellent written and verbal communication skills, with the ability to produce high quality proposals, tenders, and reports.
  • Excellent interpersonal skills.
  • Proven ability to work collaboratively and flexibly, both independently and as part of a team, and to effectively time manage in an environment of competing priorities.
