About the role

The Executive Assistant will be a trusted partner of the CEO, focused on optimising work and travel schedules, coordinating organisational events/ conferences and managing the flow of critical information. Reporting to the CEO each working day will vary and will include

  • Providing executive assistance support to the CEO; coordinating and managing of diary, emails and travels;
  • Coordinating meetings and arranging meeting logistics incl. room bookings, video/teleconference set-up, collating agendas, papers and minutes taking;
  • Creating, reviewing and maintaining up-to-date organisational presentations and documents;
  • Liaising with internal and external stakeholders, fostering significant relationships;
  • Preparing external stakeholder communications;
  • Serving as first point of contact on matters requiring CEO attention and general enquiries;
  • Coordinating significant and sizeable organisational events such as internal conferences and funder events;
  • Providing support administrative support to the wider team and maintaining office environment and supplies;

Qualifications & Experience

  • Five years' experience reporting directly to Senior Management;
  • High proficiency in the MS Office suite (PowerPoint, Word, Excel, Outlook) with the ability to generate high-impact presentations and reports;
  • Unquestionable integrity and ability to hold highly confidential information;
  • Highly developed written and verbal communication skills;
  • Comfortable working across corporate and community sectors;
  • Professional and confident in liaising with stakeholders at all levels; and
  • Experienced in the organisation and management of events.
