A bit about us

Founded in 2017, Food Frontier is the independent think tank on alternative proteins in Australia and New Zealand. We’re committed to growing our region’s protein supply with new, sustainable and nutritious options that create value for businesses, farmers and consumers. Funded by grants and donations, Food Frontier’s research, events and engagements help businesses, policymakers and innovators to understand the emergence and unlock the benefits of plant-based meat, precision fermentation and cultivated meat.

A bit about the job

The Administration and Project Coordinator is critical to supporting our small (and mighty) team through delivery of a range of administrative tasks – primarily through digital platforms – and provides a professional first point of contact for the organisation.

This is a critical position within our agile and pioneering social enterprise. As we are an organisation that also values work/life balance, with the right candidate we are happy to explore this being a 0.8 position (paid pro-rata).

Here’s a taste of the responsibilities your role will include:

  • Platform support: Help maintain, and work with the team, to operationalise our CRM (Dynamics), Project Management tool (Monday.com), our internal communications platforms (Teams) and our collaborative platform (Sharepoint).
  • Systems and processes: Help to define and operationalise processes that support our team to function more efficiently – ranging from formal policies and procedures, to normalising informal ‘ways of working’.
  • Event and meeting co-ordination: Support in all areas of event and meeting co-ordination, including venue, invitations, suppliers and on-the-day support such as technology. Ranges from supporting our Event Manager for the AltProteins conference and managing Board and Sub-Committee meetings.
  • Enquiries: Review inbound e-mail enquiries – for Food Frontier and its flagship event the AltProteins conference – assess who in the team is best placed to handle them, and ensure each enquiry is actioned.
  • Office and IT: Day-to-day office management (we are in a co-working space, so a light touch is all that is needed) and sense-checking any IT hiccups and escalating to our external IT partner as required.
  • Document and presentation preparation: Develop and maintain existing templates and tools (including Word and Powerpoint) in line with our Brand Guidelines, using these to compile and manage documents and slide decks for internal and external use.
  • Asset management: Gather, file and maintain assets in resource libraries.
  • Logistics: Support with co-ordinating travel logistics for team members as required.

A bit about you

You’re a team player who gets your kicks by helping things in the organisation to ‘hum’. To do this we think you’ll need some of these attributes:

  • You’re a systems thinker – you naturally see things from a systems viewpoint and recognise the interconnectedness of people, processes and projects. You understand how integral systems are to the foundation of your role, and also the role you play in helping your peers understand the benefits of a systems approach. You balance your natural systems tendencies with a recognition that ambiguity is also a reality of how we operate at times.
  • Your sixth sense is knowing what others need – at times we get very busy and having someone in the team who can read the room and work out the best way to support others makes you worth your weight in gold. You recognise the appropriate moments to teach and upskill other but also when taking direction and completing the task yourself is appropriate. Of course we’ll offer you all the direction needed for you to succeed in your role but if anticipating the needs of others comes naturally to you, then you’ll be a huge asset to those around you.
  • You know your way around digital platforms – an understanding of how different digital platforms - including CRMs and project management tools – work, and how different users adopt and draw insights from them will be an important foundation to supporting our team. Your knowledge of Microsoft Office Suite will be imperative in delivering on your work, and helping others exceed in theirs.
  • You can juggle – metaphorically (and literally if you want). Providing support across the Food Frontier team means you could be taking on a range of tasks from different team members at any one time. It’s important you’re comfortable gathering the right information from others to help prioritise your workload and meet deadlines, communicate this information to others, and are organised to manage your own responsibilities. But no matter how many things you have on the go, you understand attention to detail is paramount. And if you get stuck, you know it’s okay to ask for help too!
  • A critical thinker who’s solutions-oriented – When you discover a problem, you get a real kick out of seeing it through until it’s resolved. But you also think about a problem from all angles and make it your business to find out if there’s a better, more efficient way of doing things.
  • You can talk-the-talk – to anyone and everyone. You’re comfortable interacting with different stakeholders – in person and online – and understand what different professional environments require of you. Whether it’s responding to an online enquiry in a professional tone, organising a meeting for the heads of companies or negotiating with a local caterer, you know how to handle yourself and forge good relationships.
  • You’re motivated by our mission – our team is inspired because we know that we do our bit for our planet and its people and we want you to feel the same! Ideally you love working as a part of a small aspirational team, but are also able to work autonomously on projects.
