The Australian Health Practitioner Regulation Agency (Ahpra) works in partnership with 15 National Boards to implement the national regulatory scheme for health professionals. The purpose of health practitioner regulation is to protect the public by ensuring that only health practitioners who have the skills, qualifications and knowledge to provide safe care are registered.

About the role

This is a full time, ongoing position reporting into the Facilities Manager and a team member of the wider national property services team. The Facilities Coordinator position is front facing role, first point of contact for our staff, greeting visitors as well as assisting with ensuring that daily office operations are smooth workflow and efficient.  The office is located in the heart of Sydney CBD, within World Square on the 51st floor, this role is working Monday to Friday (8.30am – 4.30pm) and has the option to work from home one day per week. 

Some of the scope of work may include but not limited to:

  • First point of contact for local building issues, managing service requests and maintenance schedule
  • Local monitoring and day-to-day oversight of property facilities services contracts with external vendors (including cleaning, carpet cleaning, spraying, sanitary disposal, waste collection, plants, etc.)
  • Supporting with organising office events, stakeholder meeting
  • Managing the stocktaking and procurement of office and kitchen supplies
  • Support with first day employee inductions and staff safety evacuations
  • Utilise Ahpra’s systems and databases when undertaking duties

About you

Your ability to develop and maintain strong working relationships across teams and functions will be one of the keys to your success. You will be communicating with employees in all areas of Ahpra so the ability to tailor and adapt your communications to each person is vital.

No day is the same in this position, you will be flexible and adaptable, have the ability to think on your feet, problem solve and be solutions focused.  You will be the only Property Services team member onsite, therefore you will be able to have work autonomy, exercise judgement and make decisions at your discretion.  You will need to have advanced computer skills (in particular Word and Excel), able to collaborate via teams and a have a customer centred, professional demeanour.

As the ideal candidate, you will demonstrate the following:

  • Previous experience in office administration or related field
  • Strong organisational and multitasking abilities
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Ability to work independently and prioritise tasks effectively
  • Have a can do attitude
  • Previous experience in Serraview or Pinnacle (desired)
